Special Conditions DocclePro

If you want to use DocclePro, you must agree to Doccle’s General Terms and Conditions as well as DocclePro’s Special Terms and Conditions.

We have added a glossary to the official version to make it easier for you as a user to understand what we mean.

General Framework

The special terms and conditions of DocclePro apply to entrepreneurs using the paid DocclePro service, including the Peppol service for electronic invoicing. These terms apply in addition to Doccle’s general terms and conditions and take precedence in the event of any conflicts.

Key Definitions

• DocclePro: The professional environment within the Doccle platform, intended for entrepreneurs.
• DocclePro Service: The paid services provided via DocclePro, including Peppol e-invoicing.
• Peppol: European network for electronic invoices.
• AI Module: System that automatically converts invoices to the UBL format.
• Permitted File Format: Only PDF files are allowed.

Use of the Service

• Invoices can be converted to the UBL format manually or automatically using the AI module.
• The user remains responsible for the content and accuracy of the invoice, even after conversion.
• Up to 500 invoices per year are included; beyond that, a surcharge of €0.05 per additional invoice applies.
• The invoice is sent via Peppol, or by email if the recipient does not have a Peppol Access Point.

Access and Registration

• Entrepreneurs register via the Doccle platform using a valid enterprise number.
• A Doccle account is required for activation.
• The agreement runs for 12 months and renews automatically, unless canceled at least one month in advance.

Price and Payment

• Annual fee excluding 21% VAT.
• First invoice: payment within 30 days.
• From the first renewal onward, payment is made via direct debit.
• Late payment triggers a reminder process that may lead to the suspension of the service.
• Additional costs: late payment interest and a €25 penalty fee in case of default.

Service and Support

• SLA of 99.9% availability. · Email support via community@doccle.be .
• Response time: within 48 hours on business days.

Cancellation and Termination

• Free cancellation within 8 days of registration.
• Upon termination, the user must download their data themselves.
• Doccle can terminate the service with a 6-month notice period.

Data Processing

• Doccle acts as a data processor and ensures security, transparency and GDPR compliance.
• Doccle processes personal data of entrepreneurs and invoice recipients.
• Sub-processors: DOKAPI (AI module), Codabox (Peppol Access Point).
• Doccle will inform users when adding or replacing sub-processors
