A stress-free holiday: tips for individuals and self-employed professionals

On holiday without (administrative) worries

Heading off on holiday soon? Make sure your administration is in order. With these practical tips, you’ll be well-prepared.

We divide your holiday administration into 3 parts:

  • The documents you need during your trip
  • The administration you may or may not leave behind at home
  • Additional tips for self-employed professionals

Documents you’ll need while travelling

Create a pre-departure checklist

Which documents should you take on your holiday?

  • Valid passport or ID card: Check if it’s still valid and apply for a new one in time if needed.
  • Destination-specific documents: Find an overview of the required travel documents per country
  • Kids-ID (for children under 12, mandatory for travel outside Belgium)
  • International driving license (required in some non-European countries)
  • Travel insurance policy (covering medical costs, cancellations, lost luggage, etc.)
  • European Health Insurance Card: for medical care in Europe
  • Vaccination certificate or international medical certificate (for long-haul or certain countries)
  • Emergency numbers and key contacts (embassy, insurance, travel agent, etc.)
  • Booking and/or payment confirmations: hotels, rental cars, excursions, etc.
  • Transport tickets: for flights, trains, buses, etc.

Securely store all your documents

Scan your documents and store them securely. For example, in your Doccle account.

Managing your administration while you’re away

You decide how closely you want to follow up on your admin during your holidays. Does having access give you peace of mind? Here are some useful tips.

Manage Everything via the Doccle app

Most of your administration will be delivered to your Doccle account. You’ll receive an email notification for each new document. Prefer a smartphone notification? You can activate that yourself.

You decide whether you want to manage your admin and pay invoices while on holiday. Either way, your documents are safe and centralized in your Doccle account.

Enable automatic payments or reminders

Avoid late payments and potential fines and eliminate last-minute stress.

Set a payment or memo date

Extra tips for self-employed professionals

Get your admin in order before you leave

  • Submit your VAT or quarterly declarations before your holiday
  • Send outgoing invoices in time — including Peppol invoices, which you can do via Doccle.
  • Check incoming invoices for outstanding payments

Notify your clients

  • Let your clients and suppliers know when you’ll be away and who they can contact if needed.
  • If applicable, add the closure period of your company to your website, social media, etc.
  • Set up an out-of-office message for your email
  • Check that your business insurance policies are in order. Some insurance policies require explicit notification of closure periods.
